If you would like to prepare your form data using Microsoft Excel, we provide an Excel sheet for the import function for certain forms. This can be downloaded in the import area of the form via the download link “Excel-Sheet (XLS)”. With the help of the Excel sheet, you can create a CSV file that can then be imported into the form.
Verification of the digital signature
The Excel sheets of My BOP require macros, in order to work. Before you activate the macros of the downloaded Excel sheet, you should check the signature of the Excel sheet for security reasons. To do this, go to "Information" under "File". For "Activate content" click on "Advanced options". The security note that is now open also shows the signature. If the Excel sheet has been signed by the Bavarian State Tax Office (Bayerisches Landesamt für Steuern), you can activate the content for your current session, or trust all documents from this publisher in the future.
General structure of the Excel sheet
Depending on the form, the Excel sheet contains one or more spreadsheets for your data entry. When clicking on the columns in the Excel sheet, some fields offer tooltips with additional information.
The Excel sheet offers 3 general spreadsheets in addition to the spreadsheets for data collection:
- The worksheet "Help for the list fields" contains information on how to fill the columns correctly, e.g. lists with permissible input values.
- Under "General information", you will find important notes and solutions to problems concerning the general use of the Excel sheet.
- The spreadsheet "Change history" contains a list of all changes to the import function in addition to the current version information.
Enter or read in data
For the correct entry of your data in the Excel sheet, a detailed description of the columns in which you enter your data is available in the data set tables of the form in the import assistance. You will find the import assistance in the import area of the form. You will find compact help directly in the Excel sheet in the worksheet "Help on list fields".
If you already have your data in CSV format, use the "CSV Import" button. This allows CSV files to be read into the Excel sheet.
Check data
After you have entered your data into the Excel sheet, you can initiate a check with the "Check data" button. You may receive error messages in the Excel sheet. In this case, correct your data and check it again afterwards.
Creating the CSV file
With the button "CSV Export" a CSV file can be created, provided there are no error messages. Following a successful export, the Excel sheet is empty. The import of the CSV file just exported can then be carried out in the form in the expandable area "Import of data" (import area).
Error when importing into My BOP
If errors occur during the import into the form, the portal will offer you a commented CSV file for download. The errors must be corrected before a new import attempt.
In this case, you can use the "CSV Import" button of the Excel sheet to import the downloaded annotated CSV file into the Excel sheet and correct it with its help.
Versioning of the Excel sheet
The latest version of the Excel sheet should always be used. The version of your Excel sheet is noted in the top row of the table in the "Change history" worksheet of the Excel sheet. You will find the latest version and the download link of the latest Excel sheet in the import area of the form.
If a CSV file was created with an older Excel sheet version, it can be adapted using the latest Excel sheet. To do this, the CSV file is imported into the latest Excel sheet and checked for necessary adjustments using the "Check data" button.
